The Administrative Assistant plays a pivotal role in ensuring smooth daily operations within the events department. This position provides comprehensive administrative support to the Events Manager assisting in managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to facilitate efficient workflow. Will also assist as necessary with events needs.
Duties/Responsibilities
Coordinate and manage calendars for events manager, scheduling meetings and appointments as needed
Manage incoming and outgoing correspondence, including emails, phone calls, and mail. Draft and edit documents, letters, memos, and reports as required.
Organize and schedule meetings, including preparing agendas, booking venues, arranging catering, and ensuring necessary materials are available
Maintain and organize physical and electronic filing systems, ensuring documents are properly categorized, archived, and easily accessible
Provide support for special projects and initiatives, including research, coordination, and documentation as required
Collaborate with colleagues across departments, offering assistance and support to ensure collective goals are met effectively
Handle sensitive information with discretion and confidentiality, maintaining the highest level of professionalism and integrity at all times
Undertake additional tasks and responsibilities as assigned by management, demonstrating flexibility and adaptability in a dynamic work environment.
Work closely with the Director of Hospitality and/or location Managers for event staffing needs
Required Skills/Abilities
High school diploma or equivalent; additional certification or training in office administration is a plus
Proven experience as an administrative assistant or in a similar role, preferably in a fast-paced office environment
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively
Excellent communication and interpersonal skills, with a courteous and professional demeanor
Attention to detail and accuracy in work, with a commitment to delivering high-quality results
Ability to work independently with minimal supervision, as well as collaboratively within a team
Discretion and integrity when handling confidential information
Adaptability and willingness to learn new skills and take on new challenges
Knowledge of office equipment and procedures, with a proactive approach to problem-solving
Work schedule expected to be Tuesday through Saturday, with the possibility of an occasional Sunday
